Socially-Distant Networking & Virtual Events

Socially-distant networking is possible with both in-person and virtual events. When considering options for virtual events, it’s important to ask yourself the following questions. We’re happy to talk through different scenarios with you to help you best serve your attendees.

Check out this short video to see what the TEAM™ Virtual Appointments System can do for you and your business!
  • Does your organization have a virtual meeting solution?
    • We here at TEAM™ have many resources to help you conduct your meetings in a virtual environment. With our solutions, you can choose to network from a distance by going fully virtual or create a hybrid event with some virtual aspects.

  • Can you still maintain social distancing guidelines with an in-person event?
    • TEAM™ has many scheduling and event planning options that will allow you to flex your event exactly as needed. One advantage offered by in-person events is that we can track who has met with whom for contact tracing. We can also confine people to specific areas of the showroom floor so there are fewer people in casual contact.

  • Does your organization have staff members that can support and manage the technical aspects of a virtual event?
    • Don’t underestimate the effort organizing a virtual event takes. Although some of your physical event tasks will no longer be needed, such as booth layout and coordination, there are still plenty of tasks related to a virtual event that will require considerable time.

  • Can you handle the bandwidth?
    • Our solutions for virtual appointments offer practically unlimited bandwidth, so you never have to worry about going over the limit.

  • Do your attendees have all the materials they need to attend virtually?
    • With TEAM, your attendees simply need access to the internet and a mobile device (desktop, laptop, phone or tablet).

  • Will you charge for your event or offer access for free?
    • Perhaps you will be looking to provide some aspects of the event for free, such as education sessions and mixers, but other portions will require payment, such as a schedule book. Or maybe you will host a free virtual event in support of your larger physical event. Another option is to rely on sponsorship. There are many pricing models that can be utilized, and we are happy to talk you through them.

  • Will the content be live, on-demand, or a hybrid?
    • We have options to fit any of these, and we’ll work with you to find the best solution for your event.

  • What type of content will we deliver?
    • You’ll need to consider how you will hold the attention of your attendees. After all, they can just switch off their computer or device if the content is not engaging.

  • How long will on-demand sessions be available after the event?
    • You can decide on a time frame to keep the virtual appointment portal open if you want attendees to be able to do business after the event dates, for instance.

  • What happens if your attendees have connectivity issues?
    • Consider if you’ll have a way for your attendees to contact each other outside of their scheduled sessions, or if you’ll have tech support available to help your attendees with any technical issues that may arise.

  • What tools will attendees have to network and schedule appointments?
    • The TEAM™ appointment scheduling system works for you by removing the hassle of trying to manually schedule appointments. For example, it allows delegates to easily request, cancel, change, or add appointments all on their own.

  • Will attendees be able to share any type of material (PPP, PDF or video links) during the meetings?
    • Our system allows for easy upload of all types of content before, during or after the virtual meetings.

  • Have you created a guide for attendees before the event that explains how to join virtual meetings, attend sessions and use messaging tools?
    • While connecting to the virtual event is very simple, it is also a new experience for many. As a result, we suggest holding a technology session prior to the event to make sure your attendees understand what is required of them and how they can make the most out of the event.

  • What are your KPIs for the event?
    • How will you measure your success? Will it be based on the number of appointments scheduled, registrations purchased, or perhaps based on the feedback you receive?
